Now Hiring: Private Event Coordinator

Part-Time | 5-12 hrs/week | Starting Fall | Sheboygan, WI

The Sheboygan Collective is a creative studio offering art classes, workshops, and events for all ages. We believe in the power of art to build community, spark curiosity, and encourage self-expression. We are looking for a Part-Time Private Event Coordinator to join our team to drive revenue growth through facility rentals and private event bookings.

About the Role
This sales and logistics role is dedicated to maximizing the use of our studio space through private rentals (e.g., corporate team-building events, adult private parties, and facility rentals). You will be responsible for managing the entire client booking lifecycle, from initial inquiry and contract to day-of event execution. This role is crucial for our organization’s financial sustainability and requires impeccable organization, client management skills, and reliability.

Responsibilities

  • Sales and Client Management:

    • Serve as the primary contact for all private event and facility rental inquiries.

    • Conduct studio tours, present rental packages, and negotiate contract terms with potential clients.

    • Maintain a clear pipeline of leads and bookings, actively following up to convert inquiries into confirmed events.

  • Logistical Planning and Execution:

    • Coordinate all administrative and logistical details for booked private events (e.g., scheduling, managing contracts, invoicing, and collecting payments).

    • Manage necessary event supplies and coordinate with approved external vendors (e.g., catering).

    • Act as the primary point-person on-site for private events to ensure smooth setup, client satisfaction, and facility security.

  • Administrative and Reporting:

    • Manage and maintain the private event calendar.

    • Track key performance indicators (KPIs) such as inquiry volume, conversion rates, and revenue generated from rentals.

    • Provide the Founder with regular reports on the private events pipeline and completed bookings.

Ideal Candidate

  • Has proven experience in sales, hospitality, or event coordination, with a focus on client service and revenue generation.

  • Is highly organized, detail-oriented, and comfortable working independently to manage a sales pipeline.

  • Demonstrates excellent written and verbal communication skills for professional client interaction.

  • Is flexible, adaptable, and comfortable with the variable schedule required for evening and weekend event support.

  • Experience with basic contract administration or invoicing is a strong plus.

Position Details

  • Part-time: 5–10 hours/week to start

  • Evening and/or weekend availability required

  • Start date: Fall

  • Pay: $20-22/hour, based on experience
